Bookkeeper position for local nonprofit

Who We Are
Operation Parent is a non-profit organization focused on partnering with parents to educate and equip them with real-world prevention information regarding the issues and pressures their kids are facing today such as drug and substance abuse and mental health issues.  Through our handbooks (printed and digital), webinars, and teen focused event programs, our vision is to create a world where the sacred privilege of parenting is embraced in every home.
This position provides financial reporting for the organization and board of directors. The Bookkeeper performs duties including but not limited to financial record keeping and data entry. This position answers routine and non-routine correspondence and assembles confidential and sensitive information regarding financial and accounting matters. The Bookkeeper may also interact with customers, donors, volunteers, as well as internal contacts regarding financial questions as required.  Independent judgment is required to plan, prioritize, and organize a diversified workload.

Financial Administration
Financial Duties:

  • Proficiency required using QuickBooks Online software
  • Accounts Receivable: customer accounts, invoicing, process credit card payments, deposits to bank, and record keeping
  • Reconciliations
  • Bank Statements: checking, savings, and other financial institution accounts
  • Shopify Disbursements
  • Accounts Payable: vendor accounts, check runs, and mailing payments
  • Payroll: assist in payroll activities as needed (Gusto)  
  •  Annual Budget:  assist in preparing the annual budget
  • Quarterly KY Unemployment Report submitted: OP is self-funded but file as required
  • Grants: assist in tracking and reporting grant income and expenses as needed
  • Financial statements: prepare P&L, Balance Sheets, Cash Flow reports
  • Sales & Use Tax report:  prepare and submit when required (annually or quarterly
  • W2 & 1099’s: coordination of annual W2 and 1099 activities
  • Year-end 990: work with CPA for year-end filing
  • Year-end tax donation letters: assist Director of Fund Development in preparing, processing, and mailing donor letters as needed
  • CPA/Audit firm/Finance committee: provide financial information as needed
  • Annual Report: provide financial information after 990 is complete
  • Better Business Bureau: assist Director of Fund development in maintaining charity rating
  •   Kentucky Secretary of State/Attorney General: assure annual filings are maintained.

General Administration

  •  Board Meetings: assist in preparing packets for quarterly board meetings
  • Staff Meetings:  gather pertinent financial updates for staff meeting as needed
  • Handle confidential and non-routine information in a highly professional and confidential manner.
  • Work independently and within a team on special nonrecurring and ongoing projects.
  • Review and maintain vendor relationships, services, contracts, etc.

Fundraising & Grants
Assist Director of Fund Development with financial information as needed for fundraising and grants. 
Sales Support
Become familiar with Shopify, OP’s online e-commerce platform
Assist Community Advocates with invoicing, payment entries and customized financial reports as needed.
Monthly reconciliations for Community Advocates

  • Proficiency in Quickbooks Online with Nonprofit experience
  • Advanced Quickbooks Online User/Quickbooks Online certification
  • Proficiency in Excel
  • Microsoft Excel Certification
  • Proficiency in Microsoft Windows, Outlook and Word
  • Proficiency in Dropbox

Work Environment
This job can operate from home when necessary, but primary work environment will be at the Operation Parent office located in LaGrange, Ky.  This role uses standard office equipment such as computers, phones, copiers, etc.

Physical Demands
This is largely a sedentary role; however, some lifting of handbooks on a regular basis is required, as well as bending and lifting boxes and materials for special events. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Required Education and Experience
High school diploma
Three to Five years of bookkeeping experiencePreferred Education and Experience
Associate degree
Minimum of two years nonprofit experienceWork Authorization
Must be eligible to work in U.S.
